If you don't know where to start,  you certainly don't have the time to figure it all out.  We always encourage our couples to do plenty of research of what they would like their wedding to be, do they want it classic, modern, rustic, vintage or formal, the wedding style you and your fiancé envision will be a big factor in determining the venue to where you have your wedding. Also, the number of guests you are inviting, whether you want a traditional or non-traditional venue as well as the time of year you want to have the wedding and so much more. We will guide you through everything you may need to create your vision of a perfect wedding, incorporating your unique ideas, personality and your journey together.

"A Quick Phone Call":

  • This brief phone call is designed to be a comfortable phone meeting specifically to allow us to learn about your wedding goals, ideas, style, preferences, budget and many other topics that pertain to your wedding/event. We will answer questions you may have about our packages, prices and our availability. After this brief phone call, you feel that we can help you in any way we will schedule a 1-hour meet and greet consultation. We will send you our pre-consultation wedding/event planning form to complete and return before our meet & greet.    

Pre-Consultation Event Planning Form: (Before Our 1-Hour Meet and Greet Consultation)

  • Our Pre-Consultation Event Planning Form is used to jumpstart our conversation at the Meet and Greet. It will give us a pre-vision of what you require for your wedding.

The Meeting ~ 1-Hour Meet & Greet Consultation: An introductory meeting to get to know one another, discuss your wedding vision and where you are in the planning process.

The Brainstorming Consultation ~ 2-Hour Comprehensive Wedding Planning, Preparation and Guidance Consultation: (scheduled after receipt of signed contract and deposit/reservation fee)

This is our Brainstorming Session, to get a Good Feel for Your Style, Theme, Color Scheme and Vision for Your Wedding.

  • Completion of your wedding profile in full detail 
  • Higher level discussion of your wedding budget 
  • Discussion of your wedding ceremony and reception priorities 
  • Review your ideas and vision for your wedding and reception 
  • Review desired venue locations options, along with the pro’s and con’s of each site 
  • Venue insight, advise, comparisons and recommendations 
  • Review your style, theme, color choices and size of your wedding 
  • Share our creative ideas and suggestions to compliment your wedding style 
  • Review and discuss your desired wedding vendors/service providers

Midway Wedding Planning, Preparation and Guidance Meeting: The Revision- To Review, Recap and Discuss Planning Progress, for Your Wedding. To make Changes and Additions to Your Wedding as required.

  • Review vendors/service providers selected for services, review services included by each 
  • Review venue selected and discuss floor plan, rain plan and layout 
  • Review items included in venue contract 
  • Provide customized list of additional items needed 
  • Advise client(s) of additional services needed, such as valet, security, lighting, beverage, entertainment, etc. 
  • Advise client of vendor/service provider selections on additional services provided 
  • Provide revised task list after meeting 
  • Provide revised budget and payment worksheet after meeting 
  • Vendor/service provider follow-up and confirmations 
  • Review all vendor/service provider contracts 
  • Create and maintain a wedding planning checklist: a month to month or bi-monthly calendar of your meetings, to do list, payments due dates, etc.
  • Discuss favors for wedding reception 
  • Design selection, ideas and wording for invitations, programs and save the date cards 
  • Design layout and wording of menu cards and place cards 
  • Design of seating chart

Final Wedding Planning, Preparation and Guidance Meeting with Review of the Overall Wedding Plan: (30 days prior to your wedding)

  • Review all contracts and discuss to ensure no detail has been overlooked 
  • Finalize vendor/service provider service list and times for set-up and deliveries 
  • Advise on structure of timeline 
  • Highlight and discuss items needed to be included in timeline 
  • Discuss wedding ceremony, design and style as well as musical selections 
  • Discuss who will perform each task at the ceremony 
  • Design lineup of wedding party and discuss cueing
  • Create your wedding day schedule 
  • Design and supply detailed timeline after meeting 
  • Schedule and attend on-site planning meeting with venue 
  • Schedule and attend on-site planning meeting with caterer, florist and other vendors/service providers 
  • Design floor plan for wedding reception wedding ceremony consultation, guidance and design 
  • Wedding rehearsal consultation, suggestions, guidance and design
  • Plan and design rehearsal dinner (if required) 

Final Wedding Planning Details (14 days prior to your wedding): To Take Care of Last-Minute Details. To schedule and attend final venue and vendor/service providers meetings, To finalize vendors/service provider’s service list, delivery times and set-up.

  • Meet at venue to discuss and finalize floor plan, menu and rain plan 
  • Meet with florist to review plan and design for wedding and reception 
  • Meet with caterer and bar beverage service to finalize plans 

Wedding Rehearsal (the night before your wedding)

  • Wedding Consultant and 2 assistants will attend wedding rehearsal for 1-hour 
  • Work with wedding officiator to choreograph wedding ceremony, processional and recessional
  • Direct rehearsal flow, advice, coordinate and suggest ceremony details 
  • Discuss who will be responsible for rings and other ceremony duties 
  • Alert wedding party as to where they need to be the following day, and at what time
  • To collect and transport wedding items from wedding rehearsal for delivery to wedding ceremony and reception site. Items such as: such as unity candles, photographs, guest books, wedding favors, toasting glasses, programs, seating cards, table numbers, etc. (size limits apply)

The Wedding Day

Wedding Day

  • Wedding consultant and one wedding assistants will attend/arriving 2 to 3 hours prior to wedding start time 
  • Direct Wedding Ceremony and Reception 
  • Oversee vendor/service provider arrival and be their main point of contact 
  • Ensure wedding décor is set according to plan 
  • Transport items from wedding ceremony to reception site (size limits apply) 
  • Direct reception flow with introduction of bride and groom, first dance, cake cutting and toast 
  • Design, direct and plan bride and grooms exit 
  • Deliver snacks and beverages to wedding party (additional fee for snacks and beverages) 
  • Distribute any remaining payments or gratuities to vendors/service providers as needed 
  • Assist florist with pinning flowers on family and wedding attendants, distribute flower bouquets and oversee all other floral placements 
  • Ensure timeline is followed and according to plan 
  • Handle any discrepancies, last minute details, bridal party issues or tardy vendors/service providers as needed

Pre-Wedding Ceremony: At Brides “Getting Dressed” Location

  • Facilitate on-time arrival of hair and make-up stylists and instruct them as to where to set up hair dryers, brushes and any other equipment they have with them.
  • Coordinate hair and make-up schedule with bridal party and stylists and ensure that hair and make-up is completed in a timely fashion
  • Assist bride with putting on her wedding gown

Pre-Wedding Ceremony: At Grooms "Getting Dressed" Location

  • Ensure boutonnieres are delivered to groom’s location
  • Assist in pinning boutonnieres/folding handkerchiefs

Pre-Wedding Ceremony

  • Make wedding party aware of any last-minute wedding details
  • Make sure wedding party are getting dressed and on-time
  • Coordinate any food deliveries and set up
  • Make sure personal flowers i.e. bridal bouquet, bridesmaid’s flowers and father of the bride’s boutonnière arrive on time
  • Make sure photographer arrives on time and has the “must shoot” list
  • Gather bride, bridal party and immediate family for photos
  • Call out names on “must shoot” list for photographer
  • Ensure that transportation arrives on time and instruct wedding party as to when to depart for ceremony
  • Communicate with transportation driver and with maid-of-honor the best man while bridal party is on the way to the ceremony location
  • Access of Our "Prepared for Anything" Wedding Day Emergency Kit, First Aid Kit and Tool Box for The Unexpected.
  • Kits Can Includes Items such as stain sticks, hairspray, safety pins, a sewing kit, scissors, static guard, deodorant, straws, band-aids, snacks, and many other things you may need on the wedding day

Wedding Ceremony: Management & Execution

  • Set up wedding ceremony programs and other ceremony items i.e. guest book, unity candles, etc.
  • Ensure that ushers/groomsmen arrive on time and are ready to pass out wedding ceremony programs
  • Ensure that personal flowers i.e. flower girl bouquet and groomsmen boutonnières have arrived at wedding ceremony location
  • Alert ushers/groomsmen as to when to begin escorting guests to their seats and remind them as to how to be a “proper” usher
  • Ensure that wedding ceremony musicians have arrived and direct them as to where to set up
  • Confirm the music that ceremony musicians will play during the ceremony, as well as start times for each piece of music. Determine what hand signals will be used to cue musicians
  • Act as a liaison with the wedding ceremony officiator and decide what cue will be used to signal the start of the ceremony
  • Communicate with bride and groom so that they know how much time remains before the start of the ceremony
  • Handle any emergencies that may arise
  • Line up the bridal party for their entrances down the aisle
  • Cue ceremony musicians when bridal party is ready to begin processional
  • Gather family and friends for after ceremony photos

The Wedding Day (Continued)

Cocktail Hour: Management & Execution 

  • Ensure arrival of cocktail hour deliveries
  • Oversee set up of cocktail décor and/or rental items
  • Ensure proper flow of cocktail hour food

Pre-Wedding Reception 

  • Greet vendors and instruct them as to where to set up i.e. wedding band, florist, and caterer
  • Arrange escort cards
  • Make sure reception flowers/décor is set up according to flower order
  • Ensure that tent and lighting are set up properly and troubleshoot as needed
  • Meet with catering staff to confirm food timeline
  • Set-up wedding items; i.e. guest book and pen, toasting glasses/champagne flutes, cake cutting utensils, guest book, place cards, photo’s, etc. 
  • Set up table numbers/theme names and menu cards
  • Set up guest amenities’ baskets, hand towels, candles etc. in bathrooms 

Wedding Reception: Management & Execution

  • Look over dining tables and make sure they are set up properly
  • Along with catering staff, encourage guests to join bride and groom for dinner at the end of cocktail hour
  • Help guests locate their escort cards and dining tables
  • Locate bride and groom and instruct them to stay to the side of main dining room until they receive cue for their introduction and first dance
  • Cue band when the majority of guests have found their tables and bride and groom are ready to be introduced
  • Bustle brides’ gown for reception (must attend final fitting with seamstress)
  • Cue band, photographer, and videographer when important events take place at reception i.e. first dance, cake cutting, toasts and parent dances
  • Cue best man and father of the bride when they are about to be announced for toasts
  • Alert catering staff to pour champagne just before the toasts
  • Be aware of timing of catering service and make sure people are served promptly
  • Prepare to-go meals for bride and groom (if required)
  • Box up all remaining cake 
  • Distribute wedding favors to guests.
  • Collect and help load bridal gifts, personal wedding items and wedding keepsake items into designated vehicles or to assigned persons
  • Distribute final payments/gratuities to vendors/service providers at the end of the evening
  • Prevent and fix any problems that may arise during your event
  • Remain easily accessible through the entire event in case there are any details you would like attended to
  • Set up welcome/favor table towards the end of the evening
  • Pack up gifts/cards, miscellaneous ceremony and reception items and have them ready to be taken to the assigned family members car at the end of the night
  • Coordinate bride and groom for reception departure transportation 
  • Coordinate wedding guest departure transportation
  • Coordinate clean-up, tear/break-down of wedding

Post-Wedding Day

  • Address, Stamp and Send Out Thank-You Cards (postage not included)
  • Follow-up with Vendors/Service Providers
  • Return Rented Items (cake boards, furniture, etc.) or Make Arrangement for pick up.
  • Pick up bride’s dress and take for cleaning or heirloom preservation
  • Pick up tuxedo rentals from designated location/person and return to rental location  

Post-Wedding Follow-up Meeting: The Feedback

The wedding is over but as you know, work is not over!

We'll schedule a post-wedding follow up meeting where we will discuss and review your wedding. We want to hear from you, to get your feedback so we can continue to improve our services.
